Buyer's Guide

Distributor rewards software: what to look for

The spreadsheet worked for forty distributors. At a hundred and forty, with three schemes running, secondary data arriving in four formats and the auditor asking about 194R, it does not. This is the checklist for choosing a distributor rewards platform, written from the operations side.

A brand's channel team reviewing distributor scheme achievement on a rewards platform

Distributor rewards software is a platform that sets targets and bases per distributor, ingests secondary sales evidence from a DMS, billing export or retailer scans, applies slab and bonus rules to compute earnings, keeps a ledger, pays out by credit note, UPI, catalogue or reloadable debit card, sends statements on WhatsApp and handles Section 194R aggregation and certificates. The features that separate a distributor platform from a generic loyalty tool are base management, invoice-level integration and settlement reporting; the ones most often missing from generic tools are 194R handling and multilingual statements. Pricing in India is typically a monthly subscription by active members, from ₹30,000 to ₹3 lakh a month.

The feature checklist

Where generic loyalty tools fall short

Most loyalty software was designed for consumers or for retailers: many members, small rewards, points per transaction. A distributor program is the opposite shape, with few members, large periodic payouts and a base that has to be negotiated once and then defended. Three gaps show up when a retailer tool is pointed at distributors. First, there is no base: the tool can count points but cannot compare this quarter's secondary value with last year's for the same territory after a boundary change. Second, there is no settlement document: a distributor's accountant needs a statement that reconciles to the credit note line by line, not a points balance. Third, there is no aggregation across reward forms: the trip booked by the regional office and the gold coin handed over at the conference never reach the same 194R total as the credit note. A distributor rewards platform is built around those three, and everything else in the checklist follows from them.

Data you need before day one

  • Distributor master with PAN, GSTIN, territory, bank details and the accountant's WhatsApp number, because that is who reads the statement.
  • Prior-period secondary sales by distributor, in whatever form exists, so bases can be fixed before the rules are configured.
  • SKU master with categories, so range-width rules have something to count.
  • Outlet master from the DMS, so new-outlet coverage can be told apart from an existing outlet re-coded.
  • The current scheme circular, because the first job of the platform is to run what you already do, correctly, before it runs anything new.

Build or buy

A distributor program has fewer members than a retailer program, which tempts brands to build it in-house or on a BI tool. The rules engine is genuinely simple. What is not simple is the rest: the base audit trail, the invoice de-duplication, the payout file that finance accepts, the 194R aggregation across cash and trips and gold, and the statement that reaches a distributor in Marathi on WhatsApp. Those are the parts that get discovered in month four. The build vs buy guide gives the full comparison; the short version is that building makes sense below about fifty distributors and one scheme, and rarely above.

Pricing models you will see

  • Subscription by active members. The common model. Distributor programs are small, so many brands fall into the lower band; ₹30,000 to ₹3 lakh a month across program sizes.
  • Percentage of reward value. Some vendors take a share of payouts. It aligns badly with distributor programs where a single settlement can be large.
  • Per-transaction fees. Common for payout rails; ask whether UPI and card loads carry a fee and who pays it.
  • Implementation fee. Usually charged where DMS or ERP integration is custom. Get it fixed, not time-and-materials.

The pricing page and the cost calculator put numbers to a program of your size.

Ten questions for any vendor

  1. Show me a base being changed for one distributor and the audit record it leaves.
  2. Import last month's secondary invoices from my DMS export and show the de-duplicated figure by distributor.
  3. Run a growth-on-base slab and a range-width bonus on the same data at the same time.
  4. Show me the settlement statement a distributor receives, in Hindi.
  5. Show me the credit-note file finance will post, and the UPI payout report for the same period.
  6. Show me a distributor whose rewards this year include cash, a trip and gold, and the 194R aggregation for them.
  7. What happens when an invoice is reversed after the reward on it was paid?
  8. How does a regional manager raise and approve a manual adjustment, and who sees it?
  9. Which of my distributors are dormant in secondary reporting this month, on one screen?
  10. Export everything: distributors, bases, ledger, payouts. How long does it take and what format?

A vendor who answers all ten from a screen is selling a distributor platform. One who answers from a roadmap is selling a retailer platform with a distributor label. The RFP guide extends the list.

Key takeaways

  • Distributor rewards software must manage bases, ingest secondary evidence from DMS or scans, run slabs, keep a ledger, pay out, send statements and handle 194R.
  • Building is reasonable below fifty distributors and one scheme; above that the audit, payout and tax pieces make buying cheaper.
  • Expect subscription pricing by active members; watch for payout-rail fees and open-ended implementation charges.
  • Ask ten operational questions on a live screen; a 30-60-90 rollout gets to first settlement within a quarter.

Frequently asked questions

What is distributor rewards software?

A platform that manages distributor targets and bases, ingests secondary sales evidence from a DMS, export or retailer scans, computes slab and bonus earnings, keeps a ledger, pays out by credit note, UPI, catalogue or debit card, sends statements and handles Section 194R.

What should a distributor rewards platform integrate with?

The DMS or distributor billing system for secondary invoices, the brand's ERP such as SAP or Tally for primary and credit notes, a payout rail for UPI and cards, and WhatsApp for statements and queries. CSV import should exist as the fallback.

How much does distributor rewards software cost in India?

Typically a monthly subscription tied to active members, from about ₹30,000 to ₹3 lakh a month depending on program size, plus any fixed implementation fee for custom integration. The reward budget itself is separate.

Can I run a distributor rewards program on a spreadsheet?

Below roughly fifty distributors and one scheme, yes. Beyond that, base audit trails, invoice de-duplication, payout files, 194R aggregation and multilingual statements are where spreadsheets fail, usually around the second settlement.

Does distributor rewards software handle TDS under 194R?

It should aggregate every reward form per distributor PAN across the financial year, apply 10 percent TDS above the ₹20,000 threshold and produce certificates. Ask to see a distributor with cash, a trip and gold aggregated on one screen. Confirm treatment with your advisor.

How long does it take to roll out a distributor rewards platform?

About 90 days to first full settlement: 30 days for master data, bases, integration and rules; 30 days live in two regions; 30 days for all regions and the first settlement with 194R deductions.

What is the difference between distributor rewards software and a DMS?

A DMS records orders, stock and billing between distributor and retailer. Rewards software reads that data to compute and pay incentives. Most brands need both; the rewards platform integrates with the DMS rather than replacing it.
