How to onboard chemists to your app

A chemist runs a busy counter, deals with many companies and stockists, and has little time for another app. He will use one that shows him something useful about his own business: which of a company's products he is missing, how close he is to a trade scheme slab, what he owes his stockist, or a faster way to place an order. Onboarding is about getting him to that first useful moment.

Onboard chemists by enrolling them from stockist billing so their purchases already count, capturing GSTIN and drug licence at sign-up, letting them join on WhatsApp in their language, showing their own range gaps and scheme progress on day one, and giving reasons to return such as catalogue ordering and ledger visibility. Onboarding should be done by the trade team and kept within the compliance scope.

Compliance note. Everything in this post concerns trade programs for stockists, C&F agents, chemists and OTC counters. It does not cover, and Unotag does not run, incentive programs for doctors or other healthcare professionals. Pharma trade programs should be designed with the brand's compliance team, in line with the Uniform Code for Pharmaceutical Marketing Practices (UCPMP) and the company's own policies.

Capture the right details once

For a pharma trade program, the chemist record should hold the shop name, owner, phone, GSTIN, drug licence number and expiry, town, and the stockist or stockists the chemist buys from. Collect these at enrolment and store them in the outlet master, so schemes can be restricted to licensed outlets and benefits documented correctly. Ask for renewal details as licences approach expiry.

Chemists and OTC counters are not the same

A licensed chemist and a general store selling OTC and consumer health products need different onboarding. The chemist record carries a drug licence and is usually supplied by a pharma stockist; the general store may be supplied by an FMCG-style distributor and needs no drug licence for the ranges it sells. Keep them as separate outlet types in the master so each sees only the schemes and ranges that apply to it, and so compliance can confirm that eligibility rules are applied correctly.

Five steps to activation

1

Message him with his own numbers

If stockist invoices are available, the first WhatsApp message shows the chemist his purchases of the company's range this month and his position on the current trade scheme. That is more persuasive than any description.

2

Sign up in under two minutes

On WhatsApp, in his language, with GSTIN and drug licence captured in the same flow. No download is needed to start.

3

Show the range gap

List the focus SKUs on permitted ranges that the chemist has not bought this period. Range gaps are the most practical thing a trade program can show him.

4

Offer ordering and ledger

Where the company or stockist supports catalogue ordering, let the chemist place an order on WhatsApp, and show his ledger and outstanding. These bring him back between scheme updates.

5

Close the first cycle visibly

At the end of the first period, send the result with the purchases that counted and the benefit approved. Clear working builds trust for the next scheme.

Active means viewed progress, placed an order or qualified for a benefit in the period.

Measure each town or stockist's chemists as a group: enrolled, viewed progress, ordered, and active after the first cycle. Chemists who enrolled but never opened a scheme update usually need a visit, not another message. For general patterns of retailer onboarding see the retailer onboarding playbook, and for messaging see WhatsApp loyalty programs.

How Unotag helps onboard chemists

Unotag keeps the outlet master with licence and stockist mapping, lets chemists enrol and follow trade schemes on WhatsApp or the app, explains schemes in 8 Indian languages, and offers catalogue ordering, ledger, outstanding and overdue on the same channel. Purchases are proved by stockist invoices or bill photos with OCR. Unotag runs trade programs only. See the pharmaceuticals page, retailer incentive program and distributor management system.

Key takeaways

  • Enrol chemists from stockist billing so the first message shows their own purchases and scheme position.
  • Capture GSTIN, drug licence and stockist mapping at sign-up and keep them current.
  • Show each chemist his range gap on permitted ranges; it is the most useful thing a trade program offers.
  • Use ordering and ledger visibility as reasons to return between scheme updates.
  • Keep onboarding with the trade team and within the compliance scope; never mix it with healthcare professional activity.

Frequently asked questions

How do pharma companies onboard chemists to an app?

By pre-enrolling them from stockist billing, signing them up on WhatsApp with GSTIN and drug licence, showing their range gaps and scheme progress, and offering ordering and ledger visibility.

What details should be collected from a chemist?

Shop name, owner, phone, GSTIN, drug licence number and expiry, town and the stockists the chemist buys from.

Can chemists join without downloading an app?

Yes. WhatsApp sign-up and scheme updates work without a download; the app can be offered later.

Who should onboard chemists?

The company's trade team or the stockist's salesmen, under a compliance-approved scope, kept separate from any activity involving healthcare professionals.

How do you know a chemist is active?

A practical definition is a chemist who viewed his progress, placed an order or qualified for a benefit in the period.

How are chemist purchases verified?

Through stockist invoices captured by integration or upload, or by a photo of the chemist's purchase bill read by OCR.

Share one stockist's billing data. We will build the chemist master, send pre-enrolment messages and report activation after the first cycle.
